Thank you for your willingness to share your time, knowledge and resources with the NAB Show New York community. We are grateful for your participation and want to ensure that your time at the event is both pleasant and enjoyable.

The following information and services will help you prepare pre-show and onsite for your presentation.



You must register for NAB Show New York. Your badge gets you into your session and access to the show floor. An email was sent with a unique link for you to complete your registration. If you have questions or cannot find the email/link, please contact the Speaker Care Team.

Badges can be picked up onsite within the Speaker Ready Room (room 1E16) or at the main registration counter in the Crystal Palace lobby of the Javits.

You must also register to book your hotel room, as this is completed during the registration process. NAB Show New York does not cover speaker housing. 



The Speaker Ready Room is located on Level 1 in room 1E16. Moderators and speakers should meet in the Speaker Ready Room at least 30 minutes prior to their session and at the speaking location 15 minutes before the session begins.

Speaker Ready Room hours:

  • 1-4 p.m. Monday, October  17
  • 8 a.m.-5 p.m. Tuesday, October 18
  • 8 a.m.-5 p.m. Wednesday, October 19
  • 8 a.m.-4 p.m. Thursday, October 20



All sessions will have audio/visual support for presentations, though speakers are not required to create and/or use a presentation for their session. If you choose to create a slide deck for your session:

  • Use the official NAB Show New York PowerPoint template
  • Presentation slides must be in 16:9 format
  • Video clips: MP4 file in 16×9 format using standard resolution (720)
  • Please bring your presentation on a flash drive or on your computer



As part of the official session lineup at NAB Show New York, your session and/or conference program details will be promoted across our website, emails, social media and more to prospective and current registrants. 

Additionally, you will get a link that has customized assets to promote your specific session(s). Simply click on the link and you will be taken to our GleaninX tool, where you can choose from the customized assets and share them directly to your network – taking only a few seconds of your time.   • Can On-Floor speakers or conference program speakers attend other paid conference programs?
    Yes, paid conference programs have registration fees to attend.   
  • Can I print my badge anywhere besides the Speaker Ready Room?
    Yes, you can print your badge at any open kiosk at the main registration area; however, you are still required to check in at the Speaker Ready Room.  
  • Will I have access to the show floor during set-up if I am both a speaker and an exhibitor?
    Yes. Your badge will be marked appropriately as a speaker and exhibitor. 
  • Can speakers access the show floor prior to the show opening?
    Only if you have been registered as an exhibitor, you will have access to the show floor during setup. 
  • What happens if I lose my badge?
    Lost badge replacements are issued in your Speaker Ready Room, or Main Registration onsite. You will be asked to present some form of government-issued ID to replace your badge. 
  • Can I bring a guest to the Show to attend my Session?
    Yes. All guests must be badged for security purposes. Guests will need to register prior to entering the show floor.  

 Onsite Speaker Ready Room 

  • Can I meet with other speakers or other registered attendees in the room? 
    The room is prioritized for speakers and pre-session tag-ups. There are additional areas for conversations throughout the convention center.    
  • Will there be coffee/beverages and snacks in the room?
    Yes, there will be water, coffee and limited beverages and snacks. 
  • Can I leave personal items in the Speaker Ready Room overnight?
    We are not responsible for anything left in the Speaker Room.  

Recordings and Presentations 

  • Will my Session be recorded and if so, can I get a copy?
    Sessions will NOT be recorded or live streamed. If there is a request to record or live stream a session, all speakers participating in that session must complete the “Speaker/Panelist Release and Consent” form (available in the onsite Speaker Ready Room) two weeks prior to the Show. 
  • Will speakers need to give consent if their session is being recorded or live streamed?
    Yes.  All speakers on the panel/session will be required to sign a Speaker Consent form allowing for live streaming, recording, or posting on the website; however, a consent form is not needed if it is just being used as video news releases (VNR’s) or snippets on the website.
  • Can I record or live stream my session?
    Requests are granted on a case-by-case basis and must be made at least one month prior to the Show. Requestors must incur expenses on their own, and a Filming Permit must be requested.
